Terms of Service

Welcome to Stepify (stepify.tech), an AI-powered tool that turns videos, podcasts, and recordings into written content. These Terms of Service ("Terms") govern your access to and use of the Stepify website, apps, browser extension, and API (together, the "Service"). In these Terms, "Stepify", "we", "us", and "our" refer to the operator of the Service.

By accessing or using the Service, you agree to be bound by these Terms and by our Privacy Policy, which is incorporated by reference. If you do not agree, please do not use the Service.

1. Eligibility

You must be at least 13 years old to use the Service. If you are under the age of majority where you live, you may use the Service only with the involvement of a parent or guardian. By using the Service, you represent that you meet these requirements and that you are not barred from using it under any applicable law. If you use the Service on behalf of an organisation, you represent that you are authorised to accept these Terms for it.

2. What the Service Does

Stepify transcribes and transforms audio and video content into written outputs. Depending on your plan, the Service can:

  • Fetch and transcribe YouTube videos, podcast episodes, and public social videos
  • Transcribe audio and video files you upload
  • Generate summaries, bullet points, step-by-step guides, articles, newsletters, and social posts
  • Answer questions about your content through chat and our Ask feature
  • Automatically process new episodes from YouTube channels or podcast feeds you connect
  • Create shareable links to results you choose to publish

The Service depends on artificial intelligence models and on third-party platforms we do not control. Features, models, output formats, and limits may change, improve, or be discontinued over time as we develop the Service.

3. Your Account

To use most features you must create an account using email and password or Google sign-in. You are responsible for:

  • Providing accurate account information and keeping it current
  • Maintaining the confidentiality of your credentials and session
  • All activity that occurs under your account
  • Notifying us promptly at support@stepify.tech of any unauthorised use

Accounts are for a single person. Do not share your credentials, and do not resell or provide access to your account to others.

4. Credits, Plans, and Billing

The Service uses credits. Each piece of content you process consumes credits based on its length, and each plan includes a monthly credit allowance. Current plans, prices, allowances, and limits are listed on our pricing page, which forms part of these Terms.

  • Paid subscriptions are billed monthly or annually in advance and renew automatically until cancelled
  • Payments are processed by Polar, our Merchant of Record, which handles the transaction, invoicing, and any applicable sales tax or VAT
  • Credits are reserved when a job starts and released if it fails, so failed jobs should not cost you credits
  • Unused credits roll over only where your plan explicitly includes rollover, and only up to that plan's stated cap
  • Credits have no cash value, cannot be transferred between accounts, and expire when your account closes
  • We do not charge overage fees — if you run out of credits, processing pauses until your allowance renews or you upgrade

We may change prices or plan contents. For existing subscribers, price changes take effect at the start of the next billing period, and we will give you reasonable notice by email beforehand so you can cancel if you do not wish to continue.

If a payment fails, we may retry it and will email you. We may suspend access to paid features if payment remains outstanding after a short grace period.

5. Cancellation and Refunds

You may cancel at any time from Settings → Billing, or by contacting support@stepify.tech. On cancellation you keep access to paid features until the end of your current billing period, at which point the subscription stops renewing and your account reverts to the Free plan.

All payments are final and non-refundable. We do not issue refunds for past charges, partial billing periods, unused credits, or accidental renewals. Before subscribing you can use the Free plan to evaluate the Service; by starting a paid subscription you confirm that you have evaluated it and accept this policy.

In limited cases — duplicate charges, billing errors, or outages that materially prevented you from using the Service — contact support@stepify.tech and we will review the request in good faith. Polar, as Merchant of Record, may also independently issue refunds at its discretion to comply with card-network rules. Nothing in this section limits any statutory refund or cancellation right you have as a consumer under the law that applies to you.

6. Your Content

"Your Content" means the material you submit to the Service — links you paste, files you upload, transcripts, prompts, chat messages, brand-voice settings, and the outputs generated from them.

You retain ownership of Your Content. You grant us a limited, non-exclusive, worldwide, royalty-free licence to host, store, copy, transmit, process, and display Your Content solely to operate and support the Service for you — for example, transcribing a file, generating an output you asked for, storing your library, or serving a share link you created. This licence exists only so we can run the Service, and it ends when you delete the content or your account, except for backup copies that age out on our normal retention cycle.

Subject to the rights of the original creator of any source material, you own the outputs you generate and may use them commercially. Note that AI outputs are not always eligible for copyright protection in every jurisdiction, and similar outputs may be generated for other users from similar inputs.

7. Confidentiality of Your Content

We treat Your Content as confidential and apply appropriate technical and organisational measures to protect it. Specifically:

  • We do not sell Your Content, and we do not share it with advertisers
  • We do not use Your Content to train our own AI models
  • We share it only with the infrastructure and AI providers that perform processing on our behalf, listed in our Privacy Policy, and only as needed to deliver the Service
  • Your library is private by default — content becomes accessible to others only if you create a share link, and you can revoke any share link at any time
  • Our staff may access Your Content where necessary for support, troubleshooting, security, or abuse investigation, or where required by law

We may use aggregated, de-identified usage statistics that do not identify you or reveal Your Content to measure and improve the Service.

8. AI Outputs and Accuracy

Outputs are generated automatically by AI models. They can be inaccurate, incomplete, outdated, or misleading, and transcripts can contain transcription errors — including in names, figures, and technical terms. Timestamps are approximate.

You are responsible for reviewing outputs before relying on or publishing them. Outputs are not professional advice of any kind, and must not be used as a substitute for medical, legal, financial, or safety-critical judgement. You remain responsible for anything you publish that is derived from the Service.

9. Source Material and Third-Party Platforms

You are solely responsible for ensuring you have the right to process any material you submit. We do not verify the ownership or copyright status of the videos, podcasts, feeds, or files you choose to process, and we do not claim ownership of that source material.

You agree to respect the rights of content creators and to comply with the terms of the platforms the material comes from, including YouTube's Terms of Service. Use the Service for content you own, content you have permission to use, or uses that are otherwise permitted by law, such as fair use or fair dealing.

The Service relies on third-party platforms that may change, rate-limit, or block access without notice. Some material may therefore be unavailable, and availability of any particular source is not guaranteed. If you believe content processed through the Service infringes your rights, contact support@stepify.tech and we will review and act on valid notices, including removing content and terminating repeat infringers.

10. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in breach of these Terms
  • Infringe the intellectual property, privacy, or publicity rights of others
  • Process recordings of people without the consent required where you are
  • Upload malware, or content that is unlawful, harassing, hateful, or sexually exploitative of minors
  • Generate spam, disinformation, or content designed to deceive or impersonate
  • Circumvent credit limits, quotas, rate limits, plan restrictions, or paywalls, including by creating multiple accounts to obtain additional free credits
  • Scrape, resell, or redistribute the Service, or use it to build a competing product
  • Reverse engineer the Service or attempt to extract its source code, prompts, or models
  • Access the Service by automated means except through an interface we provide for that purpose
  • Interfere with, overburden, or disrupt the Service or its infrastructure
  • Probe or test the security of the Service without our prior written permission

11. Respectful Conduct

We are committed to a respectful environment for both users and our team. When contacting support, please communicate respectfully and work with us constructively to resolve issues. We may suspend or terminate accounts that subject our team to abusive, threatening, or discriminatory behaviour.

12. Our Intellectual Property

The Service and its content, features, functionality, software, prompts, design, and the Stepify name and logo are owned by us or our licensors and are protected by copyright, trademark, and other laws. These Terms grant you a limited, revocable, non-exclusive, non-transferable right to use the Service in accordance with them; no other rights are granted. Feedback you send us is welcome, and you agree we may use it to improve the Service without obligation to you.

13. Availability and Changes to the Service

We work to keep the Service reliable but do not guarantee uninterrupted or error-free access. The Service may be unavailable for maintenance, updates, third-party failures, or circumstances beyond our control, and we do not promise any specific uptime, processing time, or output quality. We may add, modify, suspend, or discontinue features at any time. Where we discontinue something material, we will give reasonable notice and, where practical, an opportunity to export your data.

14. Suspension and Termination

You may stop using the Service at any time. You can delete individual items from your library whenever you wish, and you can request deletion of your whole account by emailing support@stepify.tech, which we will action promptly.

We may suspend or terminate your access if you breach these Terms, if your use creates legal risk or harms the Service or other users, if payment is not made, or if we are required to do so by law. Where circumstances reasonably allow, we will give you notice and a chance to put things right first. On termination, your right to use the Service ends immediately, and we may delete Your Content after a reasonable period — export anything you want to keep beforehand. Sections 6 through 9 and 12 through 18 survive termination.

15. Disclaimers

To the fullest extent permitted by law, the Service is provided "as is" and "as available" without warranties of any kind, express or implied, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, and any warranty as to the accuracy or reliability of AI outputs. Some jurisdictions do not allow the exclusion of certain warranties, so parts of this section may not apply to you, and nothing here affects your non-waivable statutory consumer rights.

16. Limitation of Liability

To the fullest extent permitted by law, we will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, data, goodwill, or business opportunity, arising out of or relating to your use of the Service — even if we have been advised of the possibility of such damages.

Our total aggregate liability arising out of or relating to the Service or these Terms is limited to the greater of the amount you paid us in the twelve months before the event giving rise to the claim, or USD 100. These limits do not apply to liability that cannot be excluded or limited by law, such as liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

17. Indemnification

You agree to indemnify and hold harmless Stepify and its operators, employees, and agents from any claims, damages, losses, liabilities, and reasonable expenses (including legal fees) arising out of or related to Your Content, your use of the Service, your breach of these Terms, or your violation of any law or third-party right. We will notify you of any such claim and you may control its defence, provided any settlement that imposes obligations on us requires our consent.

18. Disputes

If you have a problem, please contact support@stepify.tech first — most issues are resolved quickly and informally, and we ask that you give us 30 days to try before starting formal proceedings. Nothing in these Terms limits your right to bring proceedings in the courts of your country of residence, or to complain to a regulator where you are entitled to do so. Because payments are processed by Polar as Merchant of Record, billing disputes may also be raised with Polar under its terms.

19. Changes to These Terms

We may update these Terms from time to time. We will post the revised version here and update the "Last updated" date. Where changes are material, we will give notice by email or in the Service before they take effect. Continued use of the Service after changes take effect constitutes acceptance; if you do not agree, stop using the Service and cancel any subscription.

20. General

These Terms, together with our Privacy Policy and pricing page, are the entire agreement between you and us regarding the Service. If any provision is held unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver of it. You may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition, or sale of assets, on notice to you.
